Dear Friends,
I would like to thank all of you for the overwhelming response shown to us in registration and also for the support & cooperation in agreeing for the original dates. I would also like to congratulate Gautam, Manish & Vadi for the excellent performance. We now have 202 heads including a few from NEX. As promised, I have already transferred my sponsorship amount of Rs. 1.00 lakh into the account. I request the others do the needful & help us in raising the amount. This will ensure that we have better entertainment. We have now paid the amount to Air India and have confirmed tickets as follows:
13th departure 172 seats
14th departure 12 seats ( for NEX members and others)
17th return 157 seats
18th return 27 seats ( for Kolhapur table)
The tentative program is as follows:
12th August: we need to start from Bangalore by 6pm as we need to reach Chennai airport by 4am. we have arranged for 4 buses from Bangalore and enroute we shall have dinner & fellowship at a resort near the border at about 9-10 pm. We are working on how get everyone from their home towns to Bangalore. We shall get back to you by Monday on this. The options available with us are the morning train from Hubli or charter 4 buses so as to reach Bangalore by 5pm.
13th August: we reach airport by 4 am. complete check in and other formalities and board the flight at 7.30 am. we reach the Hotel by 9.30 am. After some rest, we get ready, have breakfast and go out for the city sightseeing tour by 11 am. we return to the hotel by 7pm, have dinner and leave for the night club (optional).
14th August: we get ready and after breakfast go out for shopping. This shall be free day. Return to the Hotel for the informal night with lots of spicy entertainment and DJ.
15th August: we get ready and leave for Bentota by 9am. reach Bentota by noon. The whole day is free for games, water sports and in house hotel activities available. We shall have the AGM & changeover at 6pm at the resort and some entertainment with DJ after that.
16th August: we check out by noon and do some sightseeing at the country side etc and reach an airport transit hotel (5-10 minutes from the airport) by 8pm. We have dinner or the guys can plan to go out to a club.
17th August: we check out by 6am and head for the airport. The flight is 9.55 am. we reach Chennai by 11.30 am. the busses will pick us up and drop off at Bangalore station. We board the Rani Chenamma express and book 2 coaches.
Please note the following:
1. Kolhapur table have opted for 2+2 days and therefore will check out of Bentota on the 17th and follow the same program. And return on the 18th morning.
2. The airlines will be issuing 15-20 tickets per day and therefore we are starting the collection of the same from 20th onwards.
3. All men & guests have to pay the balance amount of Rs. 3900 by the 20th of this month along with passport number. The ladies & children need not pay anything further for the airfare.
4. All the tables have confirmed for 2+1 day & therefore will have to pay the amount of Rs. 5000+2500 by the 7th of August. Kolhapur table has to pay Rs. 10000.
5. Myself, Vadi, DK and Vikram are going to Colombo on the 18th to make the local & logistical arrangements.
6. Except the head table, I’m not making it mandatory to wear suits for the AGM & banquet; so you don’t need to carry one.
7. All of us will wear a T-shirt (to be sold), while we fly out from Chennai and shall take a group photograph next to the plane (if possible)
8. The dress code & theme for informal night & AGM/ banquet will be notified soon by Tr. Ajay Handa.
9. We are (tentative plans depending on the budgeting)
a. Making the transport arrangements from Chennai & back.
b. making arrangements for transport from your home town to Bangalore & back.
c. making arrangements at the airport transit hotel for the return on the 16th night (even if its triple sharing). This way all of us get the whole of the 4th day.
d. making arrangements for the dinner on the 12th & 16th .
e. collecting the same amount of Rs. 8900 from all guests ( men/ ladies & children as against Rs. 11600 announced earlier)
f. making 2 nights of entertainment i.e. on the 14th & 15th as against 1night earlier. Because all the tables have now asked for 2+1.
g. you need not pay the UDF amount of Rs. 1070 that was payable earlier at the Bangalore airport.
All the above 7 were not part of the earlier working, but are planning to absorb the same as we have got a better deal from Chennai. However, we will get to the actual costing and budgeting after we return from Colombo and get the final breakup of the list ( ladies & children are being subsidized; so need to know the exact break up). In case we feel short in our budgeting, we do not want the entertainment to suffer and therefore, we may request you to pay up a certain amount for the 6 items mentioned above. May be in the range of 950-1500 per adult. (children exempted). We shall collect this amount during the informal night.
